A clean file, clear credits, and a focused pitch give a station a better way to hear the fit.

Send the version you want played
If the song has explicit language, prepare a clean edit that sounds intentional rather than hurried. Check the beginning and ending, listen for sudden volume changes, and make sure the master translates on headphones, a car system, and a small speaker.
Use a clear file name with the artist and song title. Include the clean version when you send it, and keep the explicit version available only when it is requested.
Give the song its credits
Make the basics easy to confirm: artist name, song title, producer, writers, featured artists, release date, genre, contact information, and the correct listening link. Add a short bio only if it helps explain the record.
Pitch the fit and follow up with respect
Write a targeted note that names the song, explains why it fits the station or show, and gives one useful line of context. If the submission instructions allow follow-up, send one short note after a reasonable amount of time. Keep building and submit again when you have a genuinely new reason to start the conversation.
